These are Motivii’s standard terms. Please note that your employer may have negotiated bespoke Terms of Use and/or a Privacy and Data Policy with Motivii (“Bespoke Terms”). Where Bespoke Terms have been agreed you will be emailed a link to the Bespoke Terms by Motivii prior to signing up to Motivii. You may also request a copy of the Bespoke Terms at any time by emailing


If your employer does have Bespoke Terms in place with Motivii, in the event of any conflict or inconsistency between these terms and the Bespoke Terms, the Bespoke Terms will prevail. The Bespoke Terms shall supersede these standard terms or any other terms you agreed to when signing up to Motivii.​

Motivii Ltd ("we") are committed to protecting and respecting your privacy.

This policy (together with our terms of use and any other documents referred to in them) sets out the basis on which any information or data including personal data (Data) we collect from you, or that you or your employer provides to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your Data and how we will treat it. By using the Motivii website at or the Motivii mobile application (together Motivii), you are accepting and consenting to the practices described in this policy.

Our six promises to you

Your motivation is very personal to you, and so are some of the questions you answer. We therefore promise never to share your individual results with anyone. Furthermore, for the purpose of group analysis, it is the aggregate data that is important e.g can we spot trends that would help your organisation improve things for many employees.

  1. All Motivation recordings, notes and answers to questions are private.
  2. You own your data and have a personal privacy policy directly with us.
  3. We want to make work better. Motivii does this by providing Employees, Managers and Organisations better insight on themselves and their people.
  4. Three person minimum - our organisation analysis starts when there is a minimum of a three person team or group to further protect your anonymity.
  5. If entered, only your Highlights, Challenges and Focus has your name on it. This is typically sent to the person you report into, helping them understand how you are doing.
  6. No Advertising - we will never use your data to help advertisers target you or have advertising in this app.

When you change Employer you can unlink your account so that your data no longer anonymously contributes them. Your Employer or Manager may automatically do this, or you can contact us at and we can unlink you.

Information we may collect from you

The Data includes the following information about you that we may collect and process:

Information you give us.

You may give us information about you by filling in information requested during the registration process of Motivii, by using Motivii or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you submit content to Motivii, and when you report a problem with Motivii. The information you give us may include your name, work e-mail address and password.

Information we collect about you.

With regard to your use of Motivii we may automatically collect (and you consent to us accessing and collecting) the following information:

  • technical information including the type of mobile device you use (Device), a unique device identifier (for example, your Device's IMEI number, the MAC address of the Device's wireless network interface, or the mobile phone number used by the Device), mobile network information, your mobile operating system, the type of mobile browser you use, the time zone setting; and
  • details of your use of Motivii including, but not limited to, traffic data, location data, statistics of content uploaded and viewed, voting behaviour and other communication data.

Information we receive from your employer or manager.

Your employer (through your Manager) may provide certain additional information to us regarding your employment, including your job title, function and location of work, and may update that information from time to time, including if you change teams or roles within your organisation.

Location Information.

We may make use of location data sent from Devices. You can turn off this functionality at any time by turning off the location services settings for the mobile application on the Device. If you use these location services, you consent to us and our affiliates' and licensees' transmission, collection, maintenance, processing and use of your location data and queries to provide and improve location-based products and services. We may also use GPS technology or other technology to determine your current location. Some of our location-enabled services require your personal data for the feature to work.

Information we receive from other sources.

We may receive information about you if you use any other websites we operate or other services we provide from time to time. In this case we will have informed you when we collected that data that it may be shared internally and combined with data collected on this site. We may also work with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, analytics providers, search information providers, credit reference agencies) and may receive information about you from them.

Unique application numbers.

When you install or uninstall our App or any service obtained through it containing a unique application number or when such a service searches for automatic updates, that number and information about your installation, for example, the type of operating system, may be sent to us.

If you contact us, we may keep a record of that correspondence.

Uses made of the information

We use information held about you in the following ways:

Information we receive from other sources.

We will use only use this information:

  • to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information and services that you request from us. In particular, we agree to abide by Our Six Promises to You regarding the Data you provide to us, these are at the start of this documents, contained within the app and on
  • to notify you about changes to our services;
  • to ensure that content from Motivii is presented in the most effective manner for you and for your Device.

Information we collect about you.

We will use this information:

  • to administer Motivii and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
  • to improve Motivii to ensure that content is presented in the most effective manner for you and for your Device;
  • to allow you to participate in interactive features of our service, when you choose to do so;
  • as part of our efforts to keep Motivii safe and secure; and
  • to make suggestions and recommendations to you and other users of Motivii about content, goods or services that may interest you or them.

Information we receive from other sources.

We may combine this information with information you give to us and information we collect about you. We may use this information and the combined information for the purposes set out above (depending on the types of information we receive).

Disclosure of your data

To provide our services to you, we may share your Data with any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries from time to time, as defined in section 1159 of the UK Companies Act 2006.

We may share your Data with selected third parties in accordance with Our Six Promises to You, including:

  • business partners, suppliers and sub-contractors for the performance of our obligations to you;
  • your employer and Manager, subject to the terms of use;
  • analytics and search engine providers that assist us in the improvement and optimisation of Motivii.

In addition, in accordance with Our Six Promises to You, we may share anonymised Data with other users of Motivii and organisations that require data for the purposes of their business. In such cases we do not disclose information about identifiable individuals, but we may provide aggregated information about our users (for example, we may inform them that 500 men aged under 30 have reported motivation above a particular level in a given country on any given day).

We may disclose your personal information to third parties:

  • in the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets;
  • if Motivii Ltd or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets;
  • if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or
  • to protect the rights, property, or safety of Motivii Ltd, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Where we store your personal data

The Core Data that we collect from you will be stored and processed within the European Economic Area ("EEA"). By submitting your personal data, you agree to this storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

All Data you provide to us is stored on secure servers. Where we have given you (or where you have chosen) a password which enables you to access Motivii, you are responsible for keeping this password confidential. You must not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your Data transmitted to Motivii; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Your rights

You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your Data) if we intend to use your Data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You can also exercise the right at any time by contacting us at

Access to information

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

Changes to our Privacy Policy

We may revise this Privacy Policy at any time and in the event of such a revision, you may be asked to read and accept the revised policy at the time you start Motivii.
